How to split trip expenses between friends
A trip is when expenses multiply fastest: accommodation, gas, tolls, groceries, meals out, tours. By day three nobody remembers who paid for what — and the "don't worry, we'll settle it later" pile starts to grow.
Set the shared-cost rules before you leave
Agree on what counts as shared (accommodation, transport, meals eaten together, activities) and what doesn't (your own shopping). Decide if you'll split everything equally or adjust with percentages and shares — for example, when someone skips a tour or drives the car while others nap.
One travel group, expenses as they happen
Create a group for the trip and record costs the moment they occur. Whoever paid adds it. A single synchronized ledger means everyone sees the same numbers on the road, in both their own currency and shared ones — useful when parts of the trip are paid in different currencies.
Split fixed costs equally, optional ones fairly
Accommodation, fuel and tolls are most naturally equal. Optional expenses — a boat tour not everyone takes, a fancier restaurant — are better handled with % splits or shares, so nobody subsidizes someone else's choices.
Handling multi-currency trips
If your trip crosses borders, someone ends up converting amounts in their head. Recording expenses in the currency they were paid in — and letting the ledger convert automatically — keeps the account accurate instead of approximated.
Settle the last balances and enjoy the trip
At the end, settle what's left in one or two transfers. The whole point of a travel sheet is that money doesn't become the memory of the trip. The app does the subtraction; you keep the photos.
